We are growing and looking for a Project Assistant to join our team. A Project Assistant provides project document coordination and recording throughout the bid, design, construction and closeout process. Keep in contact with the design team, project management, peer reviewers and subcontractors to determine document flow and responsibility to maintain TW Constructors procedural standards while customizing and improving on these standards as required by each project. As a Project assistant you will be the project specific point person for construction documents including drawings, sketches, specs, contracts and change orders, etc. Logging these documents and distributing to the project team. Will be responsible for typically 2 to 12 projects at a time.

RESPONSIBILITIES AND DUTIES

DUTIES WILL INCLUDE:

  • Maintain electronic project files and multiple websites such as ProCore, Docusign, Building Connected, etc., with current project documents for team use
  • Type, assemble, organize, file, distribute, etc., project meeting minutes, bid packages, submittal packages, drawings, contracts, change orders, etc.
  • Create and maintain distribution lists
  • Enter new companies and update company information as necessary
  • Set up new users in ProCore, link to projects, assign security
  • Issue new ProCore users welcome email package
  • Assist PM/PE with early records in ProCore to track buyout and pre-construction meetings
  • Manage workflow customizations for each project as required
  • Assist in format and content of project specific reports as requested
  • Follow up with subcontractors, designers, and suppliers for submittals, executed contracts, change orders, close-out, etc.
  • Request, assemble and submit the closeout documents to the owner and to archive
  • Maintain organized and detailed project record electronic filing of documents and email correspondence

TRAITS AND COMPETENCIES:

  • Experience in the construction industry is a plus
  • Two-year degree in business administration or related associates degree preferred
  • Excellent computer skills, including document management system, Word, Excel, and Outlook… and willingness to regularly update skills
  • Excellent communication skills, both verbal and written
  • Excellent listening skills with attention to detail
  • Excellent and efficient quality of work
  • Able to be flexible with work hours
